Driver qualification file support

Driver Qualification File Management

Fleet Safety Advisors helps create, digitize, organize, and maintain driver qualification files, with ongoing coordination to keep records current and ready to produce for an FMCSA review.

Organized files. Continuing follow-up.

Keep driver files from becoming another unfinished task.

A driver file needs attention when someone is hired, when a document changes or expires, and when a driver leaves. FSA helps manage that work so your team can see what is on file and what still needs attention.

We work with your existing records or help establish a consistent digital file structure. Authorized company officials receive access to the agreed files, with restricted records limited to those permitted to use them.

Driver Qualification File Management is separately scoped. It is not automatically included in every Monthly Compliance Partnership. The agreed scope identifies the file work, checks, access, and responsibilities for your operation.

The goal is current, organized records that can be produced for review. File-management support does not guarantee compliance or an FMCSA audit outcome; the carrier remains responsible for driver qualification and its compliance program.

Anna Croft, Fleet Safety Advisors

Meet the team

Welcome, Anna Croft.

Anna leads Fleet Safety Advisors’ Driver Qualification File Management service. She oversees file organization, new-hire coordination, renewal tracking, and follow-up on missing or expiring documents. Her work helps carriers keep driver records current, organized, and accessible to authorized company officials.

Ongoing file management

What FSA helps manage.

Support is matched to the drivers, records, and requirements that apply to your operation.

01

File creation and digitization

Help create new driver qualification files, digitize existing paper records, and organize documents so authorized company officials can find them.

02

Ongoing document updates

Add and organize updated records as they are received, and keep the file structure consistent as drivers and documents change.

03

Renewal tracking

Track applicable expiration and review dates, including license, medical qualification, and recurring driver-record review items, and follow up on upcoming needs.

04

Missing-document follow-up

Identify missing or incomplete items, follow up with the appropriate company contact or driver, and keep outstanding requests visible.

05

New-hire file coordination

Coordinate the application, applicable record requests, required authorizations, and outstanding file items as a driver moves through your hiring process.

06

Records when drivers leave

Organize inactive-driver files for the applicable retention periods and agree how records will remain available to your company. Retention depends on the record type and applicable requirements.

A practical engagement

A clearer picture before your hiring decision.

For new hires, FSA reviews the available information and coordinates the applicable checks within the agreed driver-qualification scope. Your company makes the final hiring decision.

  1. 01

    Review the application

Review the driver's application for completeness, work history, and information that needs clarification. Identify missing details and required authorizations.

  2. 02

    Obtain applicable records and checks

Obtain applicable motor vehicle records (MVRs) and conduct driver-background and prior-employer safety-history checks within the agreed scope. Background review is limited to the driver-qualification and safety-history checks described here.

  3. 03

    Obtain an authorized PSP report

Obtain a Pre-Employment Screening Program (PSP) report for the prospective driver with the required written authorization. PSP is voluntary and is not a federally required hiring check.

  4. 04

Provide the initial hiring review report

Summarize the findings, available records, missing information, and outstanding items in an initial hiring review report. The report supports the carrier's decision; it is not a hiring approval or a guarantee that a driver is qualified.

Common questions

Before we begin.

Every operation and regulatory situation is different. These answers explain the general approach; a direct conversation determines the appropriate scope.

Can you help with files we already have?

Yes. FSA can help review the file structure, digitize existing paper records, identify missing items, and coordinate ongoing updates. The starting work depends on the condition and volume of the records.

Who can access the files?

Access is arranged for authorized company officials. Restricted information, including prior-employer investigation records, is limited to people permitted to use it. The access and document-sharing process are agreed during setup.

Is this included in every monthly partnership?

No. Driver Qualification File Management is separately scoped and is not automatically included in every Monthly Compliance Partnership. If services are combined, the agreement identifies which file-management work is included.

Does FSA decide whether to hire a driver?

No. FSA provides an initial hiring review report with findings and outstanding items. The carrier makes the final hiring decision and remains responsible for qualifying the driver and completing applicable requirements before the driver operates.

Should I send driver documents with my first inquiry?

No. Use the Request Assistance page to describe your company and the support you need. Do not include sensitive driver documents or personal information in the public form. We will arrange an appropriate document-sharing process after discussing the service.
